So here we go again! Namely the annual general meeting of Autism Youth Midtsjælland!

And if you go with the idea of running for the local board, would like to have an influence on the events for the coming year, or just want to help choose the new board and have fun with us in the meantime, then this is the event for you!

Schedule for the day:

At 14:00 We meet at the volunteer center in Roskilde on Jernbanegade 21A, 4000 Roskilde, room 3.

14:10 A quick name round, and review of the program for the day and how the event should take place.

14:15 We start with a brainstorm: What events do we want to hold in 2022? What should we focus on? Come up with all your ideas so we can work on it.

At 14:25 we start the official part of the General Assembly

At 15:00 (approximately) We have finished the general meeting, and bring out some board games.

At 15:45 we end the ongoing game, and gradually begin to pack up

Why hold a general meeting?

A general meeting is the highest authority of an association. This means that this is where all members of the association have the opportunity to influence the association's articles of association, activities, finances and management. It is also to the general meeting that you can run for the various board positions - everyone is up for election, so it is possible to run for all the positions. You must be a paying member of Autism Youth Midtsjælland to be able to run for the board and have the right to vote.

Agenda for the official part of the general meeting

Part 1: Formalia

1.        Election of chairman : The person chairing the meeting

2.        Election of speaker: The person who writes down what we have talked about at the meeting

3.        Election of tellers: 2 people must be elected to count the votes when we have to elect people to the board. The 2 tellers are not allowed to run for board positions in Autism Youth Midtsjælland.

4.        Determination of the validity of the general meeting: We confirm to each other and the other members of the association that a general meeting has been convened with at least 14 days' notice and that the resolutions at our meeting are valid.

5.        Approval of the agenda : We confirm that the agenda has been sent out in due time and that these are the items on the agenda we will review

Part 2: The board tells

6.        The board's report: Here, the sitting local board tells about how the last year has gone on the political and organizational level. The board must explain how the 3 purposes of Autism Youth 3 have been lived up to:

  • To spread knowledge about autism
  • To give young autistics their own voice in the political debate
  • Creating autism-friendly communities

Part 3: Economics

7.        Approval of accounts: Our treasurer, Shano, presents the accounts for the year 2021. This must be approved by the members.

8.        Approval of budget: Our treasurer, Shano, presents the budget for 2022. It must also be approved by the members

Part 4: Amendments to the Articles of Association

9.        Proposals received: Here we will talk about the local department's articles of association - that is, our decided rules and guidelines for the local department. You can read Autism Youth Central Zealand's existing statutes here: https://www.autismeungdom.dk/lokalafdeling-midtsj%C3%A6lland . If you have ideas for amendments to the articles of association, please send them to us by email midt@autismeungdom.dk as soon as possible, so that we can have it noted on the agenda and sent out to the members.

Part 5: Election to the Board of Directors

10.        Choice of:

  • 1 chairman
  • 1 Vice-Chairman
  • Up to a cashier
  • Up to 4 ordinary board members
  • Up to 4 non-executive deputy board members
  • 1  accountant
  • Up to a deputy auditor

All registered members of Autism Youth Central Zealand are eligible for all positions. The voting for the election will take place in writing and in secret, and the 2 tellers will be responsible for counting the votes.

10.   Possibly. Here we talk about the things you would like to talk about at the general meeting, which do not belong under the other items. In principle, no decisions can be made under the item, if any.

How to vote?

All polls are written and secret. In practice, this means that you get a piece of paper where you have to cross off who should have your voice. It is not known who votes what, and those who count the votes are not allowed to run for board positions themselves. There are several different types of personal choices, and the type of choices we have to make depends on how many people are running for the various positions:

  • Confidence election: If there is only the same number of people running as there are number of posts, then it is called a confidence election. There you just have to vote yes or no to whether you trust that a person will be elected to a post.
  • Match selection for single entry: If there are 2 or more people running for a post that is only 1 of, there is a match selection for 1 single entry. If there is a match choice for 1 single post, you only have to vote for one person - namely the person you would like to have on the post. It could, for example. be if there were 2 people who both would like to be chairman of the local branch.
  • Match selection for several identical entries: If there are more people running for the same entry than the total number of entries, then there is also a match selection - but the voting takes place in a different way. The type of choice we would e.g. get in our local department if there were 6 people running for the 4 positions we have in the local board. In such a contest election, one must vote for 1 over half of the total number of seats for which members are to be elected. In the example of 6 people running for a total of 4 posts, you would therefore be able to vote for the 3 people you would prefer to have chosen, because half of 4 is 2 and 2 + 1 is 3.
